Privacy Policy
Revised: August 05, 2026 • Effective date: January 03, 2023
This Privacy Policy explains how VNOX Media (“VNOX,” “we,” “us,” or “our”) collects, uses, discloses, and protects personal information when you visit our website, contact us, or use our services related to managed advertising accounts, Business Manager assets, and Invitee Account access (collectively, the “Service”).
This Privacy Policy applies to information we process as a data controller — for example, information about visitors to our website, prospective and existing Customers, and Invitees who interact with our Service. It does not govern how advertising Platforms (such as Meta, Google, or Snapchat) themselves process data once information reaches their systems; those Platforms have their own privacy policies, which we encourage you to review separately.
By using our website or Service, or by accepting our Invitee Terms and Conditions, you acknowledge that you have read and understood this Privacy Policy.
1. Definitions
- “Personal Data” means any information that identifies or relates to an identified or identifiable individual.
- “Customer” means the business, agency, brand, or individual that engages VNOX to manage advertising accounts or related services.
- “Invitee” means an end user, admin, editor, or authorized team member granted access to an Invitee Account through the Service.
- “Invitee Account” means any advertising account, Business Manager, or ad platform login provisioned or managed by VNOX.
- “Platform” means any third-party advertising network connected to an Invitee Account, including Meta (Facebook), Google Ads, and Snapchat.
- “Service” means VNOX’s website, account provisioning process, communication channels, and related tools used to deliver advertising account management to Customers and Invitees.
2. Information We Collect
We collect only the personal data reasonably necessary to operate our Service, manage advertising accounts, and communicate with Customers and Invitees.
2.1 Information You Provide Directly
- Name, email address, phone number, and Telegram or other messaging handle;
- Business or agency name and role (e.g., admin, editor, billing contact);
- Identity verification details, where required by a Platform before granting account access;
- Payment references relevant to account access fees or spend limits (full card details are handled by our payment processors and are never stored on our servers);
- Content of your communications with us, including support requests, onboarding messages, and Telegram correspondence.
2.2 Information Collected Automatically
- IP address, browser type, device identifiers, and approximate location, collected when you visit our website;
- Pages viewed, referring links, and time spent on our website;
- Cookies and similar technologies used for essential site functionality and, where enabled, analytics.
2.3 Information Related to Invitee Accounts
When we provision or manage an Invitee Account on behalf of a Customer, we may process account-level information such as ad account identifiers, campaign performance metadata, Business Manager configuration, and Platform-issued access credentials. This information is used solely to set up, maintain, and troubleshoot the Invitee Account for the relevant Customer and its authorized Invitees.
3. How We Use Personal Data
We use the personal data described above for the following purposes:
- Provisioning, granting, and managing access to Invitee Accounts;
- Verifying eligibility and identity before granting account access;
- Communicating with Customers and Invitees about account status, restrictions, or support requests;
- Processing payments related to account access, where applicable;
- Detecting, investigating, and preventing fraud, policy violations, or unauthorized account use;
- Maintaining the security, stability, and performance of our website and Service;
- Complying with legal obligations and enforcing our Invitee Terms and Conditions.
We do not use your personal data to train third-party or general-purpose AI models, and we do not sell your personal data.
4. Legal Bases for Processing
Where applicable data protection laws (such as the General Data Protection Regulation (GDPR)) require a legal basis, we rely on one or more of the following:
- Contractual necessity — to provide the Service you have requested, such as provisioning an Invitee Account;
- Legitimate interests — to secure our Service, prevent fraud, and improve our operations, balanced against your privacy rights;
- Legal obligation — to comply with applicable law, Platform requirements, or lawful requests from authorities;
- Consent — where required, for example for optional marketing communications or non-essential cookies.
5. How We Share Information
We do not sell personal data. We may share personal data in the following limited circumstances:
- Advertising Platforms — information necessary to provision, verify, or maintain an Invitee Account on Meta, Google Ads, Snapchat, or similar Platforms;
- Service providers — trusted vendors that support hosting, payment processing, communications, or analytics, under confidentiality and data protection obligations;
- Legal requirements — where disclosure is required to comply with applicable law, regulation, or a valid legal request;
- Business transfers — in connection with a merger, acquisition, or asset sale, subject to this Privacy Policy continuing to apply;
- With your consent — for any other purpose you have specifically agreed to.
6. Cookies and Tracking Technologies
Our website uses cookies and similar technologies to operate core functionality, remember preferences, and, where enabled, measure site performance. You can manage or disable non-essential cookies through your browser settings. Disabling certain cookies may affect the functionality of parts of our website.
7. Data Security
We implement reasonable administrative, technical, and physical safeguards designed to protect personal data against unauthorized access, disclosure, alteration, or loss, including access controls, encrypted communications where applicable, and restricted internal access to Invitee Account credentials. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Data Retention
We retain personal data only for as long as reasonably necessary to provide the Service, comply with legal and accounting obligations, resolve disputes, and enforce our agreements. Account-related records are generally retained for the duration of the Customer or Invitee relationship and for a limited period thereafter to meet compliance and security needs, after which the data is deleted or securely anonymized.
9. Your Rights and Choices
Depending on your location — for example, if you are covered by the California Consumer Privacy Act or similar state and international laws — you may have rights to:
- Request access to the personal data we hold about you;
- Request correction of inaccurate or incomplete data;
- Request deletion of your personal data, subject to legal exceptions;
- Object to or restrict certain processing based on legitimate interests;
- Withdraw consent at any time, where processing is based on consent.
To exercise any of these rights, contact us at hi@vnoxmedia.com. We may need to verify your identity before responding to your request.
10. International Data Transfers
Where personal data is transferred outside your country of residence, we take reasonable steps to ensure appropriate safeguards are in place, consistent with applicable data protection laws.
11. Children’s Privacy
Our Service is not directed to individuals under 18 years of age, and account access is only granted to Invitees who meet the eligibility requirements set out in our Invitee Terms and Conditions. We do not knowingly collect personal data from children.
12. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. We will post the revised policy with an updated “Revised” date. Continued use of our website or Service after changes are posted constitutes acceptance of the updated Privacy Policy.
